Every enquiry creates a customer record. Here's how to add notes, labels and Instagram handles, and edit contact details.

Managing your customer list

TradesOps keeps a customer record for every person who sends you an enquiry — so you can see history, add notes, and add labels for the ones you want to remember.

Open Dashboard → Customers to see your list. Each row shows name, email, phone, and a summary of what they've had done. Tap in for the detail page.

Adding a customer manually

If a customer calls you directly and you want to start a job for them without waiting for them to fill in the enquiry form, tap New customer on the list page. Fill in name, email or phone, and any notes. You can then start a booking or a quote from their detail page.

Editing contact details

From a customer's detail page, tap Edit on the contact info panel. Change name, email, phone, address, postcode or Instagram handle. Changes are saved as soon as you tap Save.

The email address on file is where TradesOps sends future quotes and invoices. If a customer moves to a new email, update it here — historic enquiries and jobs stay linked to the same customer record.

Notes and history

The notes timeline on each customer is append-only. Every note you add is timestamped and can't be deleted (you can edit for typos). This is deliberate — it's a working memory of what you discussed on site, what parts you ordered, how the last visit went.

The AI drafter also records here every time it drafts a customer reply on your behalf, so you can see what suggested wording it produced.

Labels

Tap Add label on a customer to attach a short tag ("VIP", "Callback", "Bad postcode"). Labels are for you only — customers never see them. Filter the customer list by label to jump to a subset.

Instagram

If the customer's business or profile lives on Instagram, add the handle to their record. It appears as a link on the detail page so you can jump straight to their feed. Useful if you're doing bespoke work and want a reference for their style.

Removing a customer

If you need to delete a customer (they've asked you to erase their data under GDPR, for example), open their detail page and tap Delete customer. This soft-deletes their record — historic invoices and jobs keep the money trail intact for HMRC, but the personal details are cleared out.
