Confirming, editing and cancelling bookings
The customer's booking is provisional until you confirm it. Here's how each action affects them and what they see.
After a customer picks a slot
When a customer picks a slot from the booking link you sent, TradesOps:
- Reserves the slot and marks the booking proposed.
- Sends you a Telegram ping and lists the booking on Dashboard → Bookings and on the enquiry detail.
- Does not email the customer a confirmation yet — you get the final say.
Confirming a booking
From Telegram, tap ✅ Confirm on the booking ping. From your desktop, open Dashboard → Bookings → the booking → Confirm booking. Both do the same thing:
- Move the booking to confirmed.
- Email the customer a friendly confirmation with the date, time, address and your contact details.
- Add the appointment to your Google Calendar if you've connected it.
Once confirmed, the customer knows to expect you.
Rescheduling a booking
If you need to move a booking, open the booking detail and tap Edit. Change the date or time, save, and TradesOps emails the customer with the updated details automatically. The Google Calendar entry updates too.
If you'd rather have the customer pick a new slot themselves, use Resend booking link — that mints a fresh link on the same enquiry so they can choose again.
Cancelling a booking
Open the booking detail and tap Cancel booking. TradesOps:
- Marks the booking cancelled.
- Emails the customer a short, polite notification explaining that the appointment is off.
- Frees up the slot in your Google Calendar.
You can add a private note explaining why — that stays on the enquiry, only you see it.
Completing or marking a no-show
After the visit, open the booking and tap Complete (visit happened) or No show (customer didn't turn up). No email goes to the customer either way — this is just for your records.
